Cyber Info Sweepstakes & Giveaway Policy

Cyber Info is a Texas-based nonprofit organization. From time to time, Cyber Info may conduct sweepstakes, raffles, giveaways, or similar random drawings ("Sweepstakes") in connection with community events, educational programs, or online activities such as Capture The Flag (CTF) competitions.

This policy governs all sweepstakes and giveaways organized by Cyber Info and ensures compliance with applicable Texas law and federal sweepstakes regulations.

1. No Purchase or Donation Necessary

  • Participation in any Cyber Info sweepstakes does not require a purchase or donation of any kind.
  • Entry into our sweepstakes or giveaways is always free of charge and not contingent upon payment, donation, or membership.

Example: If Cyber Info conducts a random drawing among participants in a free CTF event, entry into the drawing is automatically included with participation, and no donation or payment is required.

2. Eligibility

  • Participants must meet any age or residency requirements stated for the specific event (typically 18 years or older and US residency unless otherwise noted).
  • Employees, officers, and board members of Cyber Info, and their immediate family members, are not eligible to win prizes.
  • Participants must comply with all rules of the event associated with the sweepstakes (e.g., CTF competition rules, community guidelines).

3. Entry Method

Sweepstakes entries may occur in one of the following ways:

  • Automatic entry: Participation in a free Cyber Info event or activity (such as a free CTF) may automatically include a sweepstakes entry.
  • Optional entry form: When offered, individuals may enter without participating in the event by completing a free entry form.

Each sweepstakes will specify the exact entry period and any limits on entries per person.

4. Selection and Notification of Winners

  • Winners will be chosen at random from all eligible entries received.
  • The random drawing will occur at or after the event's conclusion by Cyber Info staff or authorized volunteers.
  • Winners will be notified via the contact information provided at entry (e.g., email or event registration system).
  • If a winner cannot be contacted within a reasonable time (typically 7 days), an alternate winner may be selected.
  • All decisions of Cyber Info regarding sweepstakes administration are final.

5. Prizes

  • Prizes may include digital items, gift cards, merchandise, event tickets, or similar items.
  • Prizes have no cash value and may not be exchanged or transferred.
  • No substitution or cash redemption of prizes is permitted except at Cyber Info's discretion.
  • Winners are solely responsible for any applicable federal, state, or local taxes associated with the prize.

6. Compliance with Texas Law

  • Cyber Info sweepstakes are conducted in accordance with Texas Business & Commerce Code Chapter 622 and related laws governing charitable sweepstakes and promotions.
  • Cyber Info does not require payment or donation for participation in its sweepstakes.
  • Cyber Info does not operate bingo, raffles, or games of chance that require purchase or consideration.

7. Publicity Release

By accepting a prize, the winner grants Cyber Info permission to use their name, likeness, and/or social media handle in promotional materials or announcements, unless prohibited by law or declined in writing.

8. Limitation of Liability

Cyber Info and its affiliates, officers, volunteers, and agents are not responsible for:

  • Lost, late, incomplete, or ineligible entries
  • Technical issues or disruptions
  • Misuse or malfunction of prizes
  • Any damages or injuries arising from participation or prize acceptance

Participation constitutes agreement to release and hold harmless Cyber Info and its affiliates from all liability.

9. Disputes and Governing Law

  • All Cyber Info sweepstakes and giveaways are governed by the laws of the State of Texas, without regard to conflict of law principles.
  • Any disputes shall be resolved in a court of competent jurisdiction located in Travis County, Texas.
